Privacy & Cookie Policy
How we collect, use and protect your personal information — and how we use cookies on this website.
Apollo Technology respects your privacy. This policy explains what personal information we collect, why we collect it, and what you can do about it. It applies to this website and to the services we provide to businesses, schools and individuals.
1. Who we are
Apollo Technology provides IT support, telecoms and ICT solutions from our technical centre in Radstock, near Bath. For the purposes of UK data protection law, we are the data controller for the personal information described in this policy.
- Address: 1–2 Ludlow Court, Frome Road, Radstock, BA3 3FX
- Phone: 01761 347198
- Email: info@apollotechnology.co.uk
- Company registration number: [Company number]
- ICO registration number: [ICO number]
When we act on your behalf. Where we support your systems under a contract — for example managing your Microsoft 365 tenancy, backups or helpdesk — we usually act as a data processor on your instructions. In those cases, the terms of our contract and our data processing agreement govern how we handle that data, not this policy.
2. What information we collect
Information you give us
- Enquiry and quote forms: your name, organisation, job role, email address, phone number and the details of your enquiry.
- Repair bookings: your contact details, the device you're bringing in, and a description of the fault.
- Support tickets: your name, contact details, the device or account affected, and the content of your request.
- Free security audits: information about your organisation's IT setup that you choose to share with us.
- Marketing sign-ups: your email address, if you ask to hear from us.
- Job applications: your CV, covering letter and anything else you send us.
Information we collect automatically
- Your IP address, browser type, device type and operating system.
- The pages you visit, how you arrived at the site, and how long you stay.
- Cookie identifiers — see section 9.
Information from our support tools
If you are a support customer, our remote support and monitoring software collects technical information about your devices — performance data, event logs, software versions and fault alerts. We use this to keep your systems running and to diagnose problems. We always ask permission before connecting to a device remotely.
Data we don't want
Please don't send us special category data (health, ethnicity, religious or political beliefs and so on) unless we've specifically asked for it. If you send us a device for repair, remove or back up anything you would not want an engineer to see.
3. How we use your information
- To answer your enquiry and prepare quotes.
- To provide, support and improve the services you've bought from us.
- To book, carry out and return repairs.
- To manage your account, including invoicing and payment.
- To monitor systems, detect faults and respond to security incidents.
- To send service messages, such as ticket updates and maintenance notices.
- To send marketing about our services, where you have agreed or where you are an existing customer and we have a similar service to tell you about. You can opt out at any time.
- To understand how the website is used, so we can make it better.
- To meet our legal, tax and accounting obligations.
We do not sell your personal information, and we do not use it to make automated decisions that have a legal effect on you.
4. Our legal basis for using it
| What we do | Lawful basis |
|---|---|
| Responding to enquiries and quotes | Legitimate interests — running and growing our business |
| Delivering support, repairs and projects | Performance of a contract |
| Invoicing, credit control and record-keeping | Legal obligation |
| Security monitoring and fraud prevention | Legitimate interests — protecting our clients and our network |
| Marketing emails to new prospects | Consent |
| Non-essential cookies and analytics | Consent |
| Recruitment | Legitimate interests, and steps towards a contract |
5. Who we share it with
We share personal information only where we need to, and only with organisations that are required to protect it. These include:
- Technology suppliers and partners who help us deliver your service — for example Microsoft, Google, Vodafone and CityFibre.
- Software providers that run our helpdesk, remote support, monitoring, email and accounting systems.
- Hardware distributors and manufacturers, where a repair, warranty claim or order requires it.
- Certified recycling partners, where equipment is being disposed of under our WEEE scheme.
- Professional advisers such as our accountants and solicitors.
- Law enforcement or regulators, where we are legally required to.
Some of these providers store data outside the UK. Where they do, we make sure an appropriate safeguard is in place — usually UK adequacy regulations or the International Data Transfer Addendum to the standard contractual clauses.
6. How long we keep it
| Information | Kept for |
|---|---|
| Enquiries that don't become customers | 24 months from last contact |
| Customer and contract records | 6 years after the contract ends |
| Invoices and financial records | 6 years, as required by HMRC |
| Support tickets | [3] years from closure |
| Repair records | [3] years from completion |
| Marketing sign-ups | Until you unsubscribe |
| Unsuccessful job applications | 12 months, unless you ask us to keep them longer |
| Website analytics | [14] months |
When a retention period ends, we securely delete or anonymise the information.
7. How we protect it
We are an IT security company, and we hold ourselves to the standards we recommend to our clients. Our measures include access controls and least-privilege permissions, multi-factor authentication, encryption in transit and at rest, endpoint protection, monitored backups, staff training, and physical security at our Radstock premises. We are certified under the government-backed Cyber Essentials scheme.
No system is perfect. If a breach occurs that is likely to risk your rights and freedoms, we will report it to the Information Commissioner's Office within 72 hours and tell you where the law requires us to.
8. Your rights
Under UK data protection law you have the right to:
- Be informed about how we use your data — which is what this policy is for.
- Access a copy of the personal data we hold about you.
- Rectify anything that is inaccurate or incomplete.
- Erase your data, where we no longer have a good reason to hold it.
- Restrict how we use it while a concern is being resolved.
- Object to processing based on legitimate interests, and to direct marketing at any time.
- Portability — receive your data in a machine-readable format.
- Withdraw consent at any time, where consent is our basis.
To exercise any of these, email info@apollotechnology.co.uk. We'll respond within one month, and we won't charge you.
If you're unhappy with how we've handled your data, please tell us first so we can put it right. You also have the right to complain to the Information Commissioner's Office (ico.org.uk, 0303 123 1113).
9. Cookies
Cookies are small text files that a website stores on your device. We use them to make the site work, to remember your choices, and — with your permission — to understand how the site is used.
When you first visit, you'll see a cookie banner. Essential cookies are set automatically because the site cannot work without them. Everything else is off until you say yes.
| Type | What it does | Consent needed |
|---|---|---|
| Strictly necessary | Keeps the site secure, remembers your cookie choices, and makes forms and logins work. | No |
| Analytics | Tells us which pages are visited and how people move through the site, so we can improve it. Data is aggregated. | Yes |
| Functional | Powers embedded content such as maps and videos, and remembers preferences. | Yes |
| Marketing | Measures the performance of our advertising and lets us show relevant ads elsewhere. | Yes |
Changing your mind
You can change or withdraw your cookie consent at any time using the cookie settings link in the footer. You can also block or delete cookies in your browser settings — but if you block essential cookies, parts of the site may stop working.
Third-party cookies
Some pages include content from other services, such as embedded maps, videos or review widgets. Those providers may set their own cookies, and their own privacy policies apply.
10. Changes to this policy
We review this policy regularly and will update it when our services or the law change. The date at the top of the page tells you when it was last revised. If we make a significant change, we'll make it obvious on the site.
11. Contact us
Questions about your data, or want to make a request? Speak to a real person — we'll take it from there.
